Information for group event organisers

Thanks for your interest in booking an event with us for your group or for making a booking with us.

On this page you’ll find all of the key information and documents you’ll need to help you plan your group’s event. Please let us know if you have any questions before making a booking or before the day of your group’s event if you’ve already booked.

If we’re running activities within your grounds, we’ll use these risk assessments as our template and add notes to them on the day.

Consent forms

We require consent for all participants to be able to take part in our activities. This is a requirement within our booking terms and conditions.

You can either complete our In Loco Parentis form and provide us with a list of participants’ names on the day, or ask all parents/participants to complete our consent form. We’ve provided more information and links to the forms below.

Online in loco parentis form – organisational form to completed by an authorised individual within your organisation. This is a form that your organisation completes to confirm that you have parental or participant consent in place to organise activities on behalf of your group. This is the easiest way to complete consent as it’s one form completed by you; and we require you to provide a register of participant’s names on the day for our health and safety records. For GDPR purposes we only ask for participant’s names (first name and surname) and no other details that makes them identifiable. We recommend asking your Headteacher, CEO or equivalent to complete the form in advance of your event.

Parental consent form – if you prefer, you can print and ask all parents to complete our hard copy consent form. Please ensure that both sides are completed and that the forms are signed, you can provide these to us on the day. 

Participant consent form – participants aged 18+ can complete our online participant consent form.

Travelling to our woodland in Tythegston

The farm road is suitable for buses up to 30 seaters, please do not book buses larger than this. If your group is larger than 30, you’ll need to book minibuses or one bus and cars/taxi.

In the event of bad weather where we risk assess your event as unsafe to go ahead, we will cancel your booking and offer you either a refund or to reschedule your event. Please refer to our terms and conditions. We recommend checking the terms and conditions with your travel company before booking your transport, as we cannot compensate for these or any other associated costs.
