Bushcraft Adventures Ltd trading as Bushcraft Adventures – herein also referred to as ‘we’, ‘our’ and/or ‘us’.

Other terms: ‘site’, ‘location’, ‘facility’ or ‘facilities’ refers to the place where the outdoor activities take place

‘Customer’ and ‘you’ refers to the individual (consumer or organisation) making the booking, the participant and/or the child participant’s parent/guardian

General

  • Please read these terms and conditions carefully before making a booking and entering in to a contract with us or before participating in our activities and get in touch if you have any questions.
  • These terms and conditions apply to both consumers (general public) and organisations (businesses, Local Authorities, charities & any other types of organisation). Where there are differences in the terms and conditions this has been made clear which terms apply to consumers only and which apply to organisations only.
  • These terms & conditions form the basis of the contract between Bushcraft Adventures and the customer and cannot be varied, unless in writing by Bushcraft Adventures
  • If you are making a group booking, we advise the person making the booking (the ‘Group Organiser’) and all group participants to familiarise with these terms and conditions.
  • Bushcraft Adventures places safety as a top priority. Bushcraft, archery, axe throwing and other activities provided by Bushcraft Adventures are adventurous activities which carry inherent risks for the people taking part.
    You (participants and/or parents whose child is participating), should be aware of and accept these risks and be responsible for your/your child’s actions and involvement.
  • In addition to the terms and conditions below, all participants/parents must:
    – read and accept an online Medical and Consent Form before taking part
    – follow all instructions and warnings communicated to you by Bushcraft Adventures representatives
  • If you are unsure whether you / your child are able to participate in any activity, or if you have any questions regarding these terms and conditions, your booking form (where applicable) or the Medical and Consent Form, please contact Bushcraft Adventures before you enter into a contract with us and/or before participating in our activities.

1. Booking and payment

  • Bookings are subject to availability. We cannot hold provisional bookings.
  • Bushcraft Adventures reserves the right to refuse and/or cancel any booking without giving a reason.
  • Full payment for individual tickets to Bushcraft Adventures organised events is required upfront.
    If paying for your booking using a gift voucher, these need to be posted to Us at least 4 weeks before the event.
    Tickets are only valid for the event you have booked and cannot be transferred to another event.
    For cancellation and refund terms and conditions for tickets, see section 4
  • The remainder of this section relates to group bookings and is divided in to terms and conditions that apply to consumers only (1.1a – 1.1m) and those that apply to organisations only (1.2a – 1.2m)

1.1 TERMS & CONDITIONS FOR CONSUMERS (GENERAL PUBLIC) ONLY
1.1a
Bookings for leisure activities on specific dates are recognised as having different consumer rights. As your booking usually prevents others from making a booking on a specific date or time, this means that you do not have a cooling off period. This means that once you have paid you have entered in to a contract with us and these terms and conditions will apply in full.
1.1b In the event that you are making a booking on behalf of a group, you (the ‘Group Organiser’) enters in to a contract with us and is responsible and liable for payment and you are bound by these terms and conditions. The Group Organiser is also responsible for ensuring all group members are aware of and agree to comply with these terms and conditions.
1.1c Some external sites for group events incur additional fees and are non-refundable. We will make you aware of this before you decide to book. This amount will be added to your 25% non-refundable deposit and will be non-refundable.
1.1d Group bookings are only confirmed once a 25% deposit plus any site fees (1.1c) has been paid, you have provided all of the details we have requested and you have received our booking confirmation email. Deposits and site fees are non-refundable. Once you have paid your deposit you have entered in to a contract with Bushcraft Adventures and these terms and conditions apply in full.
1.1e Payment for group bookings is required in advance. The booking balance (the remaining 75% of the event booking) is required at least four weeks (28 days) before the event date.
1.1f Where snacks or food is included with a booking, we will endeavour to provide alternatives for any special dietary requirements within the usual booking cost. There may be a small additional fee for you to pay to provide some alternatives and we will contact you in advance before incurring any costs. We will be unable to meet dietary requirements where we have not received Medical and Consent forms with dietary requirements at least 3 days in advance of the event booking.
1.1g Late payments – for payments not received four weeks (28 days) before an event, the following charges and conditions will apply:
(i) interest will be charged on the amount outstanding at the annual rate of 4% above the base lending rate of Barclays Bank plc, accruing on a daily basis until payment is made
(ii) Bushcraft Adventures reserves the right to suspend all future bookings until payment has been made in full
1.1h Any bookings made less than 4 weeks before the event date must be paid in full at the time of booking and will be non-refundable.
1.1i Payment by BACS (bank) transfer is preferred. Payment can also be made online by debit or credit card.
1.1j If paying for your booking using a gift voucher, these need to be posted to Us at least 4 weeks before the event.
1.1k You can increase or reduce your group size up until 2 weeks (14 days or more) before the event. This is subject to Bushcraft Adventures’ availability and group size cannot be reduced to below our minimum number.
1.1L If you wish to cancel your booking, cancellation conditions and charges are outlined in section 4.
1.1m All other terms and conditions apply with the exception of 1.2a-1.2m “terms and conditions for organisations only”.

1.2 TERMS & CONDITIONS FOR ORGANISATIONS ONLY
1.2a
Basis of contract – bookings are only confirmed and considered to be accepted when Bushcraft Adventures receives confirmation from you that you want to book and issues written (by email) acceptance of the booking. At this point and on this date the Contract shall come into existence and the organisation will be bound by these terms and conditions.
1.2b You are responsible for ensuring that all of your group members are aware of and agree to comply with these terms and conditions.
1.2c Some external sites incur additional fees and are non-refundable. We will make you aware of this before you decide to book. This amount will be added to your 25% non-refundable deposit and will be non-refundable.
1.2d A 25% deposit and any site fees is required at the time of booking – these are non-refundable
1.2e Payment is required in advance. The booking balance is required at least four weeks (28 days) before the event date.
1.2f Payment by invoice after your event booking is on a request basis and must be confirmed in writing by Bushcraft Adventures. Invoices must be paid within 30 days of the invoice date. All the same terms and conditions apply including cancellation (see section 4) and late payment (1.2h) conditions.
1.2g Where snacks or food is included with a booking, we will endeavour to provide alternatives for any special dietary requirements within the usual booking cost. There may be a small additional fee for you to pay to provide some alternatives and we will contact you in advance before incurring any costs. We will be unable to meet dietary requirements where we have not received Medical and Consent forms with dietary requirements at least 3 days in advance of the booking.
1.2h Late payments – for payments not received four weeks before an event or where invoices have not paid within 30 days, the following charges and conditions will apply:
(i) interest will be charged on the amount outstanding at the annual rate of 4% above the base lending rate of Barclays Bank plc, accruing on a daily basis until payment is made
(ii) Bushcraft Adventures reserves the right to suspend all future bookings until payment has been made in full
1.2i Any bookings made less than 4 weeks before the event date must be paid in full at the time of booking and will be non-refundable.
1.2j Payment can be made by BACS, cheque, or online by debit or credit card (including business credit card)
1.2k You can increase or reduce your group size up until 2 weeks (14 days or more) before the event. This is subject to Bushcraft Adventures’ availability and group size cannot be reduced to below our minimum number.
1.2l If you wish to cancel your booking, refer to the cancellation conditions and charges outlined in section 4.
1.2m All other terms and conditions apply with the exception of 1.1a-1.1m “terms for consumers (general public) only”

2. Gift vouchers
2.1
Gift vouchers are non-transferable.
2.2 Over the 14 day return period gift vouchers are non-refundable. They can only be refunded directly to the customer who bought them, who may not be the voucher holder. Vouchers must be posted back to Bushcraft Adventures.
2.3 Vouchers may not be used to purchase further vouchers.
2.4If an intended purchase is a higher amount than the voucher amount, the difference can be made up with an additional payment.  If it is less, then change cannot be given.
2.5Advanced booking for all activities is required
2.6 Vouchers must be posted to Bushcraft Adventures at least 4 weeks before the event to confirm payment
2.7 Once booked onto an event using a gift voucher, usual booking terms and conditions apply
2.8 In the event of a pandemic (such as covid-19) where the business temporarily has to close and events are cancelled, as a minimum voucher expiry dates will be extended by the number of days the business is closed

3. Cancellations and changes made by Us
While Bushcraft Adventures will make every effort to run events as scheduled, there may be circumstances beyond our control (e.g. extreme weather conditions) when we are forced to cancel or postpone an event or change the location.

Where changes or cancellations are made by us, the following conditions apply:
3.1 Where one of our sites needs to close, where possible we will offer you an alternative site for your event. If you are not satisfied with the alternative site, we will offer you an alternative date or a reasonable refund (see 3.2)
3.2 In the event that Bushcraft Adventures is closed (or needs to close) we may at our sole discretion offer you another session or part session without further charge or offer you a reasonable refund.
3.3 If you have already commenced your activity with us when it is cancelled or closed pursuant to clause 3.1, we will take any time you have already spent at Bushcraft Adventures into account when deciding how best to reasonably compensate you.
3.4 We cannot refund any card or other transaction fees that you may have incurred in making your payment
3.5 We reserve the right to cancel events for any reason and issue you with a full refund
3.6 In the event of a pandemic (such as covid-19) where the business temporarily has to close or local lockdown restrictions are in place and events are cancelled, you will be offered either a full refund or a gift voucher valid for 12 months

4. Cancellations made by You
We recognise that occasionally you may wish to change your mind. If you wish to cancel your booking you must notify us by emailing hello@bushcraftadventures.co.uk

The following cancellation terms and conditions and charges apply for group events and ticketed events (the number of days referred to does not include the date of the event, which is day 0):

Group event bookings
4.1 Full refund if cancelled 4 weeks (28 days or more) before the date of your event.
4.2 If we receive your cancellation request 27 days or less before the date of your event, 100% of the payment will either be forfeited or outstanding payment due.
If a booking is made for an event taking place within the next 27 days, full payment is required at the time of booking and is non-refundable.
4.3 You can reduce your group size up until 2 weeks (14 days or more) before the date of your event and get a full refund for those individual places – please note: group size cannot be reduced to below the minimum group number.
4.4 Refunds will not be given for:
• requests to reduce group size received 13 days or less before the date of your event;
• if a group participant doesn’t turn up on the day of the event for any reason (including illness)
• failure to complete a parental or participant consent form
4.5 If you decide to cancel the event because of the weather conditions after we have risk-assessed it as safe to go ahead, this will be treated as a cancellation and the cancellation terms and conditions and charges above will apply
4.6 Cancellation of gift vouchers – gift vouchers can only be refunded within 14 days of purchase and refunded directly to the customer who bought them, who may not be the voucher holder.
4.7 Payment of outstanding cancellation fees must be made within 7 days of making the cancellation
4.8 Where cancellation requires a refund of monies paid, we will endeavour to return your payment within 7 days of receipt of your cancellation request and/or within 7 days of receipt of your bank details where needed to process a BACS transfer.

Individual tickets for Bushcraft Adventures organised events (usually booked via an external platform e.g. Eventbrite or Eola) –

  • Refunds or ticket transfers to another event can only be made 14 days or more in advance of the event you have booked on to
  • This means that tickets purchased for an event that takes places within 13 days of purchase are non-refundable
  • Refunds or ticket transfers to another event cannot be made if we receive your cancellation or transfer request 13 days or less before the event. You can give your ticket to someone else to attend.

Covid-19 related cancellations made by you (group events and individual ticketed events)
If you or anyone in your household has symptoms of coronavirus, you must not enter our woodland and notify us by email or phone as soon as possible that you need to make a cancellation. You will be offered to either transfer your group event or tickets to another date or ticketed event (within 12 months) or you can choose to receive a gift voucher valid for 12 months.

5. Equipment, Instruction & Supervision
5.1 
We ask that you do not bring or use your own equipment at events. If you choose to use your own equipment, you do so at your own risk. We reserve the right to ask you to stop using your own equipment and/or to stop the session.
5.2 The instruction you will receive is specific to the Bushcraft Adventures environment and under the supervision of trained Instructors. Please refer to condition 11.4.
5.3 In booking and/or participating in Bushcraft Adventures activities, you agree to follow the directions and instructions of any Bushcraft Adventures instructors.
5.4 Participants are responsible for any equipment issued to them during the event and will be liable for loss or breakage. We will invoice you (the Group Organiser or Organisation) per item for unreturned or damaged items to cover repurchase costs. Charges will not be made for accidental damage. We will inform you if an item has not been returned to see if it can be located. If it is not returned within 10 working days, we will invoice you for the item/s.
5.5 For events and activities involving children we require adult supervision and will advise you on how many adults are expected to support Bushcraft Adventures instructors before making your booking. Adult supervisors are expected to follow Instructor’s directions and help supervise children; they are not there to participate.

6. Adherence to Rules and Health and Safety
6.1 Adventurous activities carry inherent risks for the people taking part. Instructors aim to keep these risks as low as possible. Health and safety is everyone’s responsibility and participants are expected to cooperate fully with Instructors to ensure the safety of all participants and others.
6.2 You must not do anything (or omit to do anything) which may cause damage or loss to our property or facilities, to yourself or other participants or cause nuisance, annoyance, disturbance, inconvenience or injury to any other persons on the premises.
6.3 You must ensure that all parts of the Facility used by participants are left in a clean and orderly manner and that all defects are reported to Bushcraft Adventures instructors.
6.4 We reserve the right to terminate the stay/use of the Facilities by any person(s) whom we reasonably consider to be in breach of these terms and conditions, and such persons may be required to leave immediately. No refunds will be made in this event, and we will not accept liability for any expenses, claims, losses or costs incurred as a result of such termination.
6.5 By you or your child participating in the activities you accept that no responsibility for accidents or injuries, or loss or damage to personal property rests with Bushcraft Adventures and/or their instructors, unless proven to be caused by negligence.
6.6 Participant or Parental Medical and Consent forms must be completed and returned at least 3 days in advance for all participants to be able to take part (see section 7)
6.7 All participants are responsible for following Welsh Government guidance, our instructors directions and signs within our woodland in relation to covid-19 for your safety and everyone else’s safety.

7. Medical conditions and Medical and Consent forms
All participants and/or parents must complete a Medical and Consent form and return it to Bushcraft Adventures at least 3 days before the event booking.

It is the responsibility of participants and/or parents to answer questions honestly about any relevant medical conditions or other information requested on the consent form.

Participants cannot take part without a completed consent form. Refunds will not be provided for participants who cannot take part on the day because they do not have a completed parental or participant consent form.

7.1 All persons under the age of 18 years (‘Under 18’s’) must have a Parental Medical and Consent form completed by an appropriate parent or legal guardian.
All participants aged 18 or over (‘Over 18s’) must complete a Participant Medical and Consent Form.

7.2 Organisations (eg schools, charities and community groups) who have booked an event are responsible for sending out the parental and/or participant consent form to their group and ensuring that they are completed.
A hard copy consent form is available on request, which can be returned on the day of the event (instead of in advance)
7.3 We are unable to meet any additional requirements (eg dietary requirements) if forms are not returned at least 3 days before the event
7.4 Individuals (participants and/or parents) have a responsibility to inform Bushcraft Adventures instructors if their medical health changes after completing the form or whilst taking part in the activities.
7.5 Medical conditions and/or a disability do not necessarily prevent participation. It is the responsibility of the individual participant or the child participant’s parent/guardian to know their / their child’s abilities, limitations and boundaries and to communicate with Instructors about their needs or any adaptations they may require in advance and on the day of the event. We advise getting in touch with us in advance so that we can provide you with information about the activities and location so that you can make an informed decision and/or so that you can seek medical advice from your GP if needed before attending and/or participating in any of our activities or events.

8. Other
8.1
No alcohol or drugs are permitted, and clients must not be intoxicated at any time during the event. Any participants thought to be intoxicated (at the sole discretion of Bushcraft Adventures instructors) will not be permitted to participate in any activities, may be asked to leave the Facility immediately and no refund will be given
8.2 Smoking is permitted on site, outside of our covered and roped off areas (areas being used for archery or axe throwing) and we ask that you are considerate of other individuals in the group. Cigarette butts must be disposed of responsibly and must not be thrown on the ground.
8.3 It is the responsibility of each participant or parent/guardian for children, to ensure that they wear appropriate clothing and footwear for outdoor activities and the time of year and weather conditions. 8.4 We must be notified of lost property within 1 week of the event taking place. Any items found will be disposed of after this period.
8.5 We cannot guarantee being able to extend the length of the event to account for late arrivals. We ask that participants aim to arrive at least ten minutes before the start of the event to ensure that it starts on time.
8.6 No other guests are permitted on-site unless agreed in advance with Bushcraft Adventures – this includes additional children including siblings, additional parents and pets (see 8.7) If you want to add additional participants to your booking, please contact Bushcraft Adventures in advance of your booking.
8.7 We have a strict no pets policy and there are no exceptions. We regret that the event may not be able to continue if pets are present. No refund will be given if an event has to be stopped for this reason.

9. Data Protection and Privacy
We will process your data in the way that you have consented, we will store it securely and we will not keep it for longer than we need it. More information can be found at: https://bushcraftadventures.co.uk/privacy-policy. In particular, please note:

9.1 We will share your details with Bushcraft Adventures instructors and partner organisations where appropriate in order to carry out your booking
9.2 We may give your personal information to third parties where the law either requires or allows us to do so.
9.3 We may occasionally take photographs or videos of participants at events for publicity purposes. We will seek your permission on the Participant and/or Parental Medical and Consent forms. If you change your mind after the event and wish to withdraw your consent and ask us to stop using images of you / your child for future promotional purposes, you can do so by emailing: hello@bushcraftadventures.co.uk

10. Other important terms
10.1
We may transfer our rights and obligations under these terms to another organisation.
10.2 You may only transfer your rights or your obligations under these terms to another person with our written consent.
10.3 This contract is between you and us. No other person or organisation shall have any rights to enforce any of its terms.
10.4 Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.
10.5 If we do not insist immediately that you do anything you are required to do under these terms, or if we delay in taking steps against you in respect of your breaking this contract, that will not mean that you do not have to do those things or prevent us taking steps against you at a later date.
10.6 This agreement is governed and construed by the laws of England and Wales and the parties submit to the exclusive jurisdiction of the courts of England and Wales.

11. Insurance and liability
11.1
Bushcraft Adventures has comprehensive insurance with a reputable Outdoor Activities insurer; a copy of the Insurance Certificate can be provided on request.
11.2 Events take place in an outdoor environment, and the customer acknowledges that these environments are never completely hazard free. While Bushcraft Adventures makes every effort to minimise risks, we will not be held liable for accidents, mishaps or losses that are not a result of negligence on the part of Bushcraft Adventures, or for any accidents or losses which are (i) your fault; (ii) are due to a participant’s failure to follow the instructions of Bushcraft Adventures’ Instructors; (iii) attributable to a third party unconnected with our provision of services under this agreement; or (iv) events which neither we nor our suppliers could have foreseen or forestalled even if we had taken all reasonable care.
11.3 Bushcraft Adventures cannot be held responsible for any losses or damage to participant’s personal belongings, clothing, money or vehicles.
11.4 Bushcraft Adventures will not be held responsible for any accidents or mishaps occurring to previous participants or third parties instructed by previous participants of any Bushcraft Adventures’ events (also see condition 5.2)
11.5 Bushcraft Adventures, its instructors and other agents shall not be liable for any direct, indirect, special or consequential loss or damage including loss of profit or any other form of compensation.

12. Complaints
Any complaints should be directed in the first instance to the Instructors during the event, so that the issues can be resolved at the time.

Any complaints that arise after the end of the event must be put in writing to Bushcraft Adventures within 14 days of the event to hello@bushcraftadventures.co.uk with the subject heading “complaint”. We will look in to your complaint and respond to you within 28 days.

Bushcraft Adventures will not be liable in respect of any complaints received after this time.

13. Updates to terms and conditions
Bushcraft Adventures reserves the right to change these terms and conditions without notice to you in relation to future bookings and sales.
